Information from Prime may be emailed as an attachment or saved to file.
To email a schedule:
| 1. | Highlight the appropriate Schedule on the Site List and select " Schedule For" from the Side Bar. |
| 2. | Right-click in the Data Area of the displayed schedule. |
| 3. | Select "View Options" from the subsequent menu. |
| 4. | Select " E-Mail To" and input the email address of the recipient(s) in the blank email which opens. |
| 5. | Add a subject line and any necessary message. |
| 6. | Click Send. The Schedule will be sent as an attachment to the message. |
The format in which data is emailed may be amended via the "Expand Group Items" and "Send Lists As" options.
NOTE: Once set, the selected options will be retained by Prime until they are disenabled. Registry Reset does NOT clear the E-Mail Options settings.
Expand Group Items
Enabling the Expand Group items option will ensure that any hierarchical data will be sent with the hierarchies fully open and visible to the recipient. Where this option is not enabled, the hierarchies will be supplied closed, and the recipient will not be able to expand them. To apply or remove this option:
| 1. | Select Utilities > Configure > E-Mail Options from the Menu Bar. |
| 2. | Click Expand Group Items. A tick indicates that the option is enabled. |
Send Lists as
By default, lists of data are sent in HTML format. Data supplied in HTML format may be viewed by any recipient but can not be manipulated. Consequently, the option to send data in Excel or CSV (Comma Separated Value) format - which allows manipulation - is available. (NOTE: Data supplied as .xls or .csv requires the presence of a spreadsheet application on the recipient's computer).
To change the format in which lists are emailed:
| 1. | Select Utilities > Configure > E-Mail Options from the Menu Bar. |
| 2. | Select the required format from the "Send Lists As:" drop-down box. |
To email individual asset details:
| 1. | Highlight the required asset on a schedule and select " Details For..." from the Side Bar. |
| 2. | Right-click on the Item Details screen. |
| 3. | Select " E-Mail To" and input the email address of the recipient(s) in the blank email which opens. |
| 4. | Add a subject line and any necessary message. |
| 5. | Click Send. The item details will be sent as an attachment to the message. |
To save a schedule to file:
| 1. | Highlight the appropriate Schedule on the Site List and select " Schedule For" from the Side Bar. |
| 2. | Right-click in the Data Area of the displayed schedule. |
| 3. | Select "View Options" from the subsequent menu. |
| 4. | Select " Save to File". |
| 5. | Navigate to the location in which the file is to be saved, select the appropriate file type from the drop-down list and set a file name. |
To save an individual asset:
| 1. | Highlight the required asset on a schedule and select " Details For..." from the Side Bar. |
| 2. | Right-click on the Item Details screen. |
| 3. | Select " Save to File". |
| 4. | Navigate to the location in which the file is to be saved, select the appropriate file type from the drop-down list and set a file name. |
