Depending on the level of security awarded to a user, certain functions are available throughout Prime either directly from the Tool Bar, or from the Menu Bar Edit option:

 

Edit Mode

 

By default, no data can be amended in Prime.  To enter, edit or remove data, Edit Mode needs to be enabled.  To avoid accidentally altering or deleting data, Edit Mode should be turned off when not required.  (NOTE: Prime will automatically disenable Edit Mode when changing screen).

 

To toggle Edit Mode on or off, either:

 

click the Edit Icon (Edit Mode) icon on the Tool Bar, or
right-click in the Data Area and select "Edit Icon Edit Mode" from the subsequent menu.

 

Once selected, the Edit button turns orange and (depending on the current location within Prime and security level of the user) a number of other Tool Bar options will become available.

 

(NOTE: If changes have been made and Edit Mode is then de-selected, a dialog box requesting confirmation that the changes should be saved to the database will appear.  Select Yes to save the changes, No to abandon the changes, or Cancel to return to editing the data.)

 

Undoing modifications

 

If changes have NOT been saved, clicking the Undo (Undo Modifications) icon will revert the data to its last saved state.

 

Saving data

 

Once amendments to data are complete, click the Save (Save) icon to save the changes.

 

Cut, Copy and Paste

 

The standard editing functions of Cut, Copy and Paste are available within Prime.

 

Highlight the item or text to Cut or Copy and click the appropriate icon - Cut(Cut) or Copy (Copy) - on the Tool Bar.  To Paste the information elsewhere, place the cursor at the insertion point and select the Paste icon (Paste).  (NOTE: For Paste to be available, an item/text must previously have been Cut or Copied).

 

Refresh data

 

Clicking the Refresh (Refresh Data) icon will cause the data to be re-read from the database.  Refreshing the data will, therefore, reflect any changes made to the database by any user.

 

If data has been edited, but not saved, clicking the Refresh icon will cause the "Save Changes" dialog box to open.  Select Yes to save the changes and refresh the screen, No to abandon the changes and refresh the screen, or Cancel to abandon the data refresh and return to data editing.

 

Exporting data

 

Currently displayed data may be saved to a file or emailed as an attachment.

 

Saving data to a file:

 

1.Right-click in the Data Area of the screen which contains the information to be saved.  (NOTE: All of those items displayed in the Data Area will be saved, not just those currently visible on the screen).
2.Select View Options > "Save Save To File" from the subsequent menus.
3.Navigate to the location in which the file is to be saved, select the appropriate file type from the drop-down list and set a filename.
4.Click Save.

 

Emailing data:

 

1.Right-click in the Data Area of the screen which contains the information to be emailed. (NOTE: All of the items displayed in the Data Area will be emailed, not just those currently visible on the screen).
2.Select View Options > "Email to E-Mail To" from the subsequent menus.
3.In the email which opens, insert the full email address of the recipient, complete the subject line and, if necessary, insert message text.
4.Click Send.  By default, the data will be sent in .html format with all group items compressed.  For information on amending these settings, see "E-Mail Options".
5.Confirmation that the email has been sent will appear on the screen.  Click OK to close the dialog box.
