Once a graph has been created, it is possible to view the underlying assets.
| 1. | Build the graph settings on the "Criteria & Axis Settings" tab. |
| 2. | View the graph. Either: |
| • | click the icon (Refresh Chart) on the Tool Bar, or |
| 3. | Click on one of the bars of the graph. |
| 4. | The Assets tab will open automatically, displaying the assets indicated by the selected bar. The Side Bar will update to reflect the first asset viewable on the Assets tab. (NOTE: Once the Assets tab is open, the "Details for", "Documents for" and "Defects" options are available from the Side Bar). |

| 5. | To view an asset, either: |
| • | double-click on the required asset, or |
| • | click on the required asset and select " Details for" from the Side Bar. |
Grouping, Sorting and Filtering Displayed Assets
(NOTE: The Assets tab of the Graphing screen differs from other screens within Prime in that it does not retain changes made to the Grouping or Column areas of the screen. To retain a customised view it is necessary to save the graph once any amendments have been made. For detailed information, please see Saving Graph Settings).
The displayed assets may be grouped by any of the standard headings within Prime. For example, to group by Building name:
| 1. | Right-click in the Results area. |
| 2. | Select View Options > " Edit Displayed Data" from the subsequent menu. |
| 3. | Drag "Building" from the Customization pop-up box to the Grouping area and release the mouse button. |
| 4. | Close the Customization box (click the cross in the top right-hand corner) to refresh the view of the data. (NOTE: The data refresh may take up to a minute to complete depending on the quantity of data affected. Do NOT attempt to re-close the Customization box whilst the data refresh is in progress) customization box. |
Once a Grouping has been applied, a filter may be applied to the Grouped data.
Removing a Grouping
If a filter has been applied to a Grouping, the filter must be cleared before the Grouping is removed. To do this:
| 1. | Click the down arrow on the required field. |
| 2. | Select the "(All)" option from the subsequent listing. |
Now remove the Grouping:
| 3. | Right-click in the Grouping Area and select View Options > " Edit Displayed Data" from the subsequent menus. |
| 4. | Drag the required field name to the Customization box and release the mouse button. (NOTE: If the filter has not been removed before the grouping option is undone, then a filtered view of the data will continue to be presented). |
| 5. | Repeat steps 1-4 as required. |
| 6. | Close the Customization box (click the cross in the top right-hand corner) to refresh the view of the data. (NOTE: If Prime is exited before the refresh has taken place, the filter will be retained by Prime for future use). |
Sorting data
Once items have been grouped, displayed data may be sorted either alphanumerically (the default setting) or reverse alphanumerically.
| • | To apply a sort click the appropriate column heading(s). |
| • | To clear a sort, right-click in the Grouping Area, and click on View Options > " Clear Sort" from the subsequent menus. |
Filtering data
(HINT: A filter can be applied to any screen which has a Grouping Area).
A filter effectively hides information that does not meet its criteria from view. A filter can be applied to one or a combination of the fields within the Grouping Area.
Applying a Filter
| 1. | If necessary, add a column heading or headings to the Grouping Area: |
| i. | Right-click in the hierarchical pane. |
| ii. | Select View Options > " Edit Displayed Data" from the subsequent menus. |
| iii. | Drag the appropriate field name from the Customization box to the required point in the Grouping Area and release the mouse button. |
| iv. | Repeat if required, and then close the Customization box (click the cross in the top right-hand corner) to refresh the view of the data. (NOTE: The data refresh may take up to a minute to complete depending on the quantity of data affected. Do NOT attempt to re-close the Customization box whilst the data refresh is in progress). |
| 2. | Click the down arrow on any of the field names within the Grouping Area and select the required filter type: |
| • | (All) – displays all data (and therefore removes any previously applied filters). |
| • | (Custom) – allows complex filtering across a range of criteria (see Custom Filters section below). |
| • | (Blanks) – displays all items which have a blank value in the currently selected heading. |
| • | (NonBlanks) – displays all items which do NOT have a blank value in the currently selected heading. |
The down arrow will change colour to indicate that a filter has been applied. Once a filter is applied, a Customize bar will appear at the foot of the Grouping Area.
Removing a Filter
To remove a filter but retain the grouping heading, either:
| 1. | Click the down arrow on the required field. |
| 2. | Select the (All) option from the subsequent listing. |
(NOTE: If filters have been applied to more than one field, repeat steps the steps above to remove the filters on each field); or
| 1. | Click the cross on the Customize bar (NOTE: This will remove all filters currently applied). |
To remove both a filter and a grouping:
| 1. | Click the down arrow on the required field. |
| 2. | Select "(All)" from the subsequent listing. |
| 3. | Right-click in the Grouping Area and select View Options > " Edit Displayed Data" from the subsequent menus. |
| 4. | Drag the required field name to the Customization box and release the mouse button. (NOTE: If the filter has not been removed before the grouping option is undone, then a filtered view of the data will continue to be presented). |
| 5. | Repeat steps 1-4 as required. |
| 6. | Close the Customization box (click the cross in the top right-hand corner) to refresh the view of the data. (NOTE: If Prime is exited before the refresh has taken place, the filter will be retained by Prime for future use). |
